These Terms & Conditions apply to the coaching services, programs, workshops, digital tools, and related services offered by Brittany Olson Coaching. By purchasing, booking, accessing, or participating in any services, you agree to these Terms & Conditions.
1. Description of Coaching
Coaching is a collaborative process designed to support clients in clarifying goals, increasing self-awareness, identifying obstacles, developing strategies, and taking meaningful action in their personal or professional lives.
Coaching is a partnership in the sense of an alliance between coach and client. It is not a legal business partnership, joint venture, employment relationship, therapeutic relationship, or fiduciary relationship.
2. Nature of the Coach-Client Relationship
Brittany Olson Coaching follows the ethics and standards of behavior established by the International Coaching Federation, where applicable.
Clients are solely responsible for their own decisions, choices, actions, results, physical well-being, mental well-being, emotional well-being, and implementation of any insights or strategies discussed through coaching.
Coaching may involve topics related to work, relationships, health, finances, values, goals, habits, emotions, lifestyle, and personal growth. However, the client remains fully responsible for determining how to apply coaching insights to their own life.
3. Coaching Is Not Therapy, Medical Care, Legal Advice, or Financial Advice
Coaching is not therapy, counseling, psychotherapy, psychoanalysis, mental health treatment, substance abuse treatment, medical care, legal advice, tax advice, or financial advice.
Brittany Olson Coaching does not diagnose, treat, prevent, or cure mental disorders, medical conditions, or any other health condition. Coaching is not a substitute for working with a qualified therapist, physician, attorney, accountant, financial advisor, or other licensed professional.
Clients are responsible for seeking appropriate professional support when needed. If a client is currently working with a mental health provider or medical provider, they are encouraged to inform that provider about the nature and extent of their coaching work.
4. Services
Brittany Olson Coaching may offer services including, but not limited to:
One-on-one coaching programs
Group coaching programs
Workshops
Accountability support
Digital tools or resources
Email or text-based support
AI-assisted reflection or tracking tools, where applicable
The specific details of each service, including length, number of sessions, pricing, deliverables, and communication expectations, will be described on the relevant sales page, checkout page, proposal, invoice, or written communication.
Unless otherwise stated in writing, coaching sessions are typically held virtually via Zoom or another agreed-upon platform.
5. Fees and Payment
Fees vary depending on the service or program purchased. Current pricing will be provided on the relevant sales page, invoice, checkout page, or written offer.
Payment is due according to the payment terms stated at the time of purchase. For coaching programs, fees typically reflect participation in the full program or service period and are not calculated as a per-session rate unless explicitly stated otherwise.
Additional services, extended support, or ad hoc sessions may be available at an additional rate, as agreed upon in writing.
6. Scheduling and Availability
Coaching sessions are scheduled by mutual agreement. Clients are responsible for attending scheduled sessions on time and communicating promptly about any scheduling needs.
Program timelines and session availability may vary due to holidays, travel, illness, emergencies, or other normal life circumstances. Occasional short periods of reduced availability do not automatically result in refunds, unless otherwise stated in writing.
If scheduling disruptions prevent a session from reasonably occurring within the original program timeline, Brittany Olson Coaching may extend the program period at its discretion to allow the missed session to be completed.
7. Communication Between Sessions
Some coaching services may include reasonable email or text support between sessions. The scope of this support depends on the specific service purchased.
Unless otherwise stated in writing, Brittany Olson Coaching aims to respond to client messages during normal business hours within approximately 24 business hours. Response times may vary due to weekends, holidays, travel, illness, or other obligations.
Between-session support is not crisis support and should not be used for urgent mental health, medical, legal, or emergency situations.
8. Client Responsibilities
Clients agree to participate honestly and respectfully in the coaching process. This includes being open to reflection, feedback, personal responsibility, and follow-through.
Clients understand that coaching requires active participation. Results are not guaranteed and depend on many factors, including the client’s circumstances, choices, effort, readiness, consistency, and external conditions.
9. Confidentiality
Brittany Olson Coaching respects client privacy and treats coaching conversations as confidential, subject to the limitations below.
Client information will not be shared without consent except in limited circumstances, including but not limited to:
When disclosure is required by law, subpoena, or court order
When there is an imminent risk of harm to the client or another person
When information involves illegal activity
When information is already publicly known
When information is shared anonymously or hypothetically for supervision, mentoring, professional development, consultation, or training purposes
Clients understand that coaching conversations are not legally privileged in the same way that communications with attorneys, doctors, or licensed therapists may be.
Brittany Olson Coaching will not use a client’s name, story, testimonial, or identifying details publicly without permission.
10. Privacy and Data Use
Brittany Olson Coaching collects and uses client information only as reasonably necessary to provide services, manage scheduling, communicate with clients, process payments, and maintain business records.
Reasonable safeguards are used to protect client information. However, no digital system can be guaranteed to be completely secure.
Brittany Olson Coaching may use third-party service providers such as Zoom, scheduling platforms, email or text providers, payment processors, website platforms, client management tools, and AI tools where applicable. These providers may process information according to their own privacy policies.
Brittany Olson Coaching does not sell client personal information.
11. Use of AI Tools and Notetaking
Some services may offer optional use of AI-assisted tools, such as transcription, notetaking, reflection prompts, accountability tracking, or progress summaries.
Use of AI tools is optional unless clearly stated as part of a specific service. When AI tools are used, client information may be processed by third-party technology providers for the limited purpose of providing the selected tool or service.
Clients may ask questions about AI tool usage before opting in. Choosing not to use optional AI tools will not affect access to the core coaching service.
12. Cancellation and Rescheduling Policy
Clients are asked to provide at least 24 hours’ notice to cancel or reschedule a scheduled coaching session.
Sessions canceled with at least 24 hours’ notice may generally be rescheduled within the active program period, subject to availability.
Brittany Olson Coaching may offer one courtesy late cancellation for unforeseen circumstances during a coaching program. After that, late cancellations or no-call/no-shows may count as completed sessions and may not be eligible for rescheduling.
In some cases, a late cancellation fee may be offered as an alternative to counting the missed session as completed. Any such fee will be communicated in writing.
If Brittany Olson Coaching needs to cancel or reschedule a session, reasonable notice will be provided whenever possible, and the session will be rescheduled.
13. Refund Policy
Unless otherwise stated in writing, program fees are non-refundable once services have begun.
Because coaching programs reserve time, energy, and capacity over a defined period, fees are generally based on access to the program and support during that period, not on the number of sessions used.
Refund exceptions, if any, will be handled according to the specific terms stated for the service purchased or as agreed upon in writing.
14. Termination of Services
Either the client or Brittany Olson Coaching may discontinue coaching services with written notice.
For paid coaching programs, if a client chooses to end services early, the client remains responsible for any fees due according to the payment terms agreed upon at purchase. Any refund or prorated adjustment will be handled according to the refund terms for the specific service.
If Brittany Olson Coaching terminates services before the end of a paid program, any prepaid unused portion may be refunded on a prorated basis, unless termination is due to client misconduct, nonpayment, or violation of these Terms & Conditions.
15. Community, Group Programs, and Events
For group programs, workshops, or community events, participants agree to communicate respectfully and maintain the confidentiality of other participants.
Participants may not share another participant’s personal story, identity, comments, or private information outside the group without that person’s consent.
Brittany Olson Coaching reserves the right to remove any participant from a group program, workshop, or event for disruptive, unsafe, disrespectful, or inappropriate behavior.
16. No Guarantees
Brittany Olson Coaching does not guarantee specific outcomes, income, personal results, business results, emotional results, health outcomes, relationship outcomes, or any other particular result.
Any testimonials, examples, or client stories are illustrative only and do not guarantee that any current or future client will experience the same results.
17. Limited Liability
To the fullest extent permitted by law, Brittany Olson Coaching is not liable for any indirect, incidental, consequential, special, or punitive damages arising from participation in coaching services, programs, workshops, digital tools, or related offerings.
The total liability of Brittany Olson Coaching, if any, shall be limited to the amount paid by the client for the specific service giving rise to the claim.
18. Intellectual Property
All materials provided by Brittany Olson Coaching, including worksheets, prompts, exercises, frameworks, recordings, written materials, digital resources, and program content, are the intellectual property of Brittany Olson Coaching unless otherwise stated.
Clients may use these materials for their own personal use. They may not copy, reproduce, distribute, sell, teach, publish, or share these materials publicly without written permission.
19. Dispute Resolution
If a dispute arises, both parties agree to first attempt to resolve the matter through good-faith communication.
If the dispute cannot be resolved informally, the parties agree to attempt mediation before pursuing other legal remedies, unless urgent legal action is necessary.
20. Severability
If any part of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will remain in effect.
21. Waiver
Failure to enforce any part of these Terms & Conditions does not constitute a waiver of the right to enforce that provision in the future.
22. Applicable Law
These Terms & Conditions are governed by the laws of the State of California.
23. Updates to These Terms
Brittany Olson Coaching may update these Terms & Conditions from time to time. The most current version will be posted on this page.
Continued use of services after updates are posted indicates acceptance of the updated Terms & Conditions.
